Terms & Conditions
These Terms & Conditions apply to all coaching services provided by Kensington & Chelsea Gymnastics Academy (KCGA), including trial assessment sessions, group classes, and private coaching.
They are designed to ensure clarity, fairness, and a safe, positive environment for all gymnasts and families. Please read them carefully before booking or attending sessions.
Definitions
In these Terms & Conditions:

KCGA refers to Kensington & Chelsea Gymnastics Academy.

Parent / Guardian refers to the responsible adult booking or supervising a child.

Gymnast refers to the child or adult participating in sessions.

Session refers to any trial, group class, or private coaching session.

Bookings & Payments
All sessions and classes must be booked and paid in advance. A place is confirmed only once full payment has been received.
KCGA reserves the right to allocate places on a first-come, first-served basis. If payment is not received by the stated deadline, the place may be offered to another family.
Payments are made by bank transfer.
Trial Assessment Sessions
Trial assessment sessions are designed to introduce gymnasts to the KCGA coaching approach and to assess the most suitable class level.
Completing a trial does not automatically guarantee a place in a specific class. KCGA will advise on availability and appropriate next steps following the assessment.
Group Classes
Group classes are organised and paid per term, as outlined on the Fees page.
Once a term place is confirmed:

Fees are non-refundable and non-transferable.

Missed classes cannot be carried over, swapped, or refunded.
This includes absences due to illness, holidays, travel, school activities, or other personal reasons.
Class placement is determined by age, experience, and coach assessment. KCGA may recommend a different level if this is in the best interest of safety and progression.
Private Coaching
Private coaching sessions are tailored to individual goals and booked separately from group classes.
A 48-hour cancellation policy applies:

Cancellations made with 48 hours’ notice or more may be rescheduled, subject to availability.

Cancellations made with less than 48 hours’ notice are charged in full and are non-refundable.
Late arrivals will result in a shortened session to avoid impacting subsequent bookings.
Session Duration
Session durations are age-dependent:

Group classes:

40 minutes for ages 4–6

50 minutes for older children and adults

Private coaching:

45 minutes for ages 5–6

60 minutes for older children and adults

Clothing
For trial assessment sessions, gymnasts may wear comfortable sports clothing.
Once a gymnast joins KCGA as a member, wearing the KCGA club T-shirt during classes is required, along with appropriate sports bottoms.
Jewellery should not be worn during sessions for safety reasons. Long hair should be tied back.
Insurance & Safety
Kensington & Chelsea Gymnastics Academy is an affiliated club with British Gymnastics.
British Gymnastics membership, which includes insurance cover, is a mandatory requirement for all gymnasts participating in regular classes at KCGA. This membership provides insurance cover while gymnasts take part in recognised gymnastics activities.
British Gymnastics membership is paid separately from KCGA coaching fees and must be purchased directly by parents or guardians through the British Gymnastics website. Membership must be in place before a gymnast attends regular sessions beyond an initial trial.
British Gymnastics membership and insurance are valid for a set period and must be renewed annually to remain active. Gymnasts without current membership may not be able to participate in sessions until valid insurance is confirmed.
Parents and guardians are responsible for reviewing the full details, terms, and limitations of British Gymnastics insurance directly with British Gymnastics.
Gymnastics is a physical activity and, like all physical activities, carries inherent risks. KCGA takes reasonable and proportionate steps to provide a safe, structured, and age-appropriate training environment, but it is not possible to eliminate all risks associated with participation.
Parents and guardians must inform KCGA of any medical conditions, injuries, or additional needs that may affect participation, and confirm that the gymnast is fit to take part in physical activity.
Academic Research & Evidence-Informed Practice
KCGA is committed to delivering coaching that is informed by evidence and best practice in sport and exercise science. As part of this approach, the Academy may occasionally analyse anonymised physical fitness and performance data collected during standard training and assessment activities to support academic research, professional presentations, and the ongoing development of gymnastics practice.
Any data used for research or educational purposes is fully anonymised, cannot be used to identify individual gymnasts, and is handled in line with accepted scientific and ethical standards.
Where images are used in academic or professional contexts, they are generic photographs taken during designated KCGA events throughout the year (such as Easter sessions, the Annual Performance, or Christmas sessions). Written parental consent is obtained in advance for all photography and video recording, and such images are used illustratively only to demonstrate the nature of gymnastics training. Images are not linked to individual performance data, test results, or research findings.
KCGA’s research activity is led by Dr Stefan Kolimechkov, PhD, and reflects the Academy’s commitment to advancing understanding of children’s development through gymnastics in a responsible, transparent, and ethical manner. Participation in training is not affected by whether anonymised data is included in research analysis, and parents or guardians may opt out at any time by informing KCGA in writing.
Behaviour & Conduct
KCGA maintains a calm, respectful, and structured learning environment.
Gymnasts are expected to follow coach instructions and behave respectfully towards others. Parents and guardians are expected to communicate respectfully with staff.
KCGA reserves the right to suspend or discontinue participation where behaviour compromises safety, wellbeing, or the learning environment.
Club Rules & Session Expectations
Parents and Guardians

Please arrive on time for the start of the session. For health and safety reasons, gymnasts arriving more than 10 minutes late may not be able to join the class.

Please ensure your child has used the toilet and has water before the session begins.

Parents and guardians are responsible for ensuring that KCGA has up-to-date contact details, medical information, and emergency information at all times.

Parents and guardians are welcome to observe sessions. To maintain focus and safety, we ask that spectators avoid phone calls, loud conversations, or unnecessary noise within the gymnastics hall.

Photography and video recording by parents, guardians, or spectators are not permitted, except during designated events or viewing occasions explicitly approved by KCGA.

KCGA is a small, structured gymnastics academy and delivers coaching within defined group formats and safety ratios.
While we aim to provide a positive and supportive environment for all gymnasts, we are not currently able to offer specialised coaching or individual support for children with complex learning difficulties, disabilities, or additional needs that require one-to-one assistance beyond our standard coaching provision.
Parents and guardians are encouraged to contact British Gymnastics for guidance on clubs and programmes that are specifically equipped to support gymnasts with particular requirements or specialist needs.
If you are unsure whether KCGA is the right environment for your child, we encourage open discussion with us before booking so we can offer honest guidance.
Gymnasts

Gymnasts are expected to treat coaches, peers, and others with respect at all times.

Hair must be tied back, and jewellery must not be worn during sessions. Makeup is not permitted.

Chewing gum, food, and drinks (other than water) are not allowed in the gymnastics hall.

Gymnasts must not leave the training area without the supervision or permission of a parent, guardian, or coach.

Gymnasts must be dressed appropriately for training. A KCGA club T-shirt is required once a gymnast joins the Academy, along with suitable sports bottoms. Jeans, hoodies, and similar clothing are not permitted.

Socks and shoes must not be worn on the gymnastics mats unless instructed otherwise by a coach.

Gymnasts should only attempt skills that have been taught or approved by a KCGA coach, in line with safety guidance and their stage of development.
KCGA reserves the right to pause or discontinue a gymnast’s participation in a session where these expectations are not met, in the interest of safety and the learning environment.
Coaching Practice, Physical Support & Parent Observation
Gymnastics is a physical activity that, at times, requires coaches to provide appropriate physical support (“spotting”) to help gymnasts learn skills safely and with confidence.
Any physical contact by KCGA coaches is professional, purposeful, and limited to what is necessary to support skill development, safety, and correct technique. Physical support is always provided in a manner appropriate to the gymnast’s age, stage of development, and individual needs.
KCGA operates in line with British Gymnastics safeguarding standards, and all coaches are appropriately qualified and DBS-checked.
Parents and guardians are welcome to observe sessions and watch their child train from the dedicated parent’s area. To maintain a focused and safe training environment, we ask that spectators remain respectful of the session by avoiding phone calls, loud conversations, or unnecessary noise that may distract gymnasts within the gymnastics hall.
If a parent or guardian has any questions or concerns regarding coaching methods or physical support, we encourage open communication with the coaching team.
Venues, Coach Cover & Changes
While KCGA aims to maintain consistency, occasional changes to venues, timetables, or coaching staff may be necessary.
Where possible, families will be informed in advance. Suitable qualified coach cover may be provided if a coach is unavailable.
Photography & Media
KCGA takes the privacy and safeguarding of our gymnasts very seriously.
Photographs and video recordings are taken only during designated academy events, such as Easter training sessions, the Annual Performance, and Christmas sessions, where families are informed in advance.
For these occasions, KCGA may invite its official club photographer, Kseniia, and her professional team, to capture photos and videos of gymnasts for use on the KCGA website, social media, promotional materials, and academy communications.
Written parental consent is always obtained in advance before any photography or filming takes place. No images or videos of a gymnast will be captured or used without signed consent from a parent or legal guardian.
Parents and guardians who choose not to provide consent will have their preferences fully respected, and KCGA will take appropriate steps to ensure that their child is not included in any photography or video recordings.
Photography or filming by parents, guardians, or spectators during sessions or events is not permitted, unless explicitly approved by KCGA in line with safeguarding and privacy guidelines.
Acceptance of Terms
By booking and/or attending KCGA sessions, you confirm that you have read, understood, and agreed to these Terms & Conditions.

Changes to These Terms
KCGA may update these Terms & Conditions from time to time. The most current version will always be available on our website.
